Welcome to Campus Event Planning.

The Office of Institutional Events (OIE), within the President’s Office portfolio, is introducing a strategic framework for the future of event planning and execution. This approach emphasizes innovation and inclusivity, with a focus on improving accessibility, operational efficiency, and overall engagement across campus events.

Vision and Mission

OIE is committed to enhancing the impact and consistency of campus events by providing centralized resources, establishing clear standards, and strengthening communication across portfolios. The office supports event planning through leadership, collaboration, and guidance, ensuring alignment with RPI’s institutional priorities and expectations.

OIE-Managed Events

OIE serves as the primary owner for the following events:

  • Colloquy and PhD Hooding
  • Commencement
  • First-Year and Honors Convocations
  • Holiday Concert
  • President’s Commencement Picnic
  • Presidential Special Events
  • Town Meetings

OIE-Supported Events (Partnership)

For select events, OIE partners with schools, divisions, and research institutes to support planning and execution. The scope of partnership varies based on the needs and complexity of each event.

Examples of events supported through partnership include:

  • Black Family Technology Awareness Day
  • Seasonal Celebration
  • Trustee Celebration of Faculty
  • Welcome Back Faculty

Events Requiring OIE Consultation

Event organizers are required to consult with OIE to determine the appropriate level of involvement when events meet one or more of the following criteria:

  • Participation or a speaking role by the President
  • Expected attendance of 100 or more individuals
  • Significant external engagement or community presence
  • Trustee involvement (hosted or in attendance)
  • Institute-wide or externally facing award ceremonies
  • High-profile engagements involving VIP attendees
